Two Ways to Create Invoices
WorkCentral gives you two ways to create invoices: manually from scratch, or using Smart Invoicing to pull from approved time entries and billable expenses. You can optionally enhance line item descriptions with AI to make them sound professional for clients.
This guide covers the entire invoicing workflow from creation to payment.
Create an Invoice Manually
Navigate to Invoices and click "Create Invoice" to start from scratch.
Required Fields:
- Invoice Number: Auto-generated in
INV-0001format, editable, must be unique per organization - Client: Dropdown filtered to your active clients
- Issue Date: Defaults to today
- Due Date: Must be on or after the issue date
Optional Fields:
- Project: Filtered by selected client (shows active projects)
- Payment Terms: Text description, max 50 characters
- Notes: Shown on the invoice to your client
- Terms: Shown on the invoice to your client
Line Items:
- Description: What this charge covers (required)
- Quantity: Number of units or hours (required, must be > 0)
- Rate: Price per unit (required, must be > 0)
- Amount: Auto-calculated as quantity × rate
At least 1 complete line item is required. Empty rows are ignored; partially complete rows show an error.
Totals:
- Subtotal: Sum of all line item amounts
- Tax Rate: Optional percentage
- Discount: Optional percentage
- Total: Final amount after tax and discount
Save Options:
- Save as Draft: Saves the invoice without sending. You can edit freely.
- Save & Send: Saves and proceeds to email template selection to send to your client.

OR Use Smart Invoicing
Smart Invoicing is WorkCentral's signature feature — it creates invoices directly from your approved time entries and billable expenses. No manual data entry needed.
Prerequisites: Billable time entries must be approved before they're eligible. Expenses must be marked as "Billable to Client" with a client association.
How It Works:
- Navigate to Invoices → click "Smart Invoicing"
- System finds all billable, approved, uninvoiced time entries (with hourly rate) and billable expenses
- Select a project or client, optionally filter by date range
- Choose a grouping method for time entries; billable expenses appear in a separate section
- Review and customize line items, then create the invoice
If no eligible time entries or billable expenses exist, you'll be redirected to manual creation.
Five Grouping Options:
1. By Project + Task
One line item per project-task combination — the most detailed view
2. By Project
One line item per project, includes task count and team member count
3. By Team Member
One line item per person, includes their task count
4. By Date Range
Weekly groupings (Monday-Sunday) with task and member counts
5. Individual Entries
Every time entry as its own line item — maximum detail
Pro Tip: "By Project + Task" gives the most detailed breakdown for clients who want to see exactly what they're paying for. "By Project" is cleaner for clients who prefer a high-level summary.
Enhance Descriptions with AI (Optional)
After Smart Invoicing generates your line items, you can click "Enhance with AI" to transform basic time-entry descriptions into professional, client-ready language.
What AI Enhancement Does:
- Transforms basic descriptions into professional language
- Focuses on deliverables and value, not process
- Keeps descriptions concise (50-150 characters)
- Each enhanced description can be reverted to the original
Example:
"Work on project tasks"
"Custom WordPress development and front-end UI implementation"
Best with Smart Invoicing: AI enhancement works best with Smart Invoicing since it has detailed time entry data to work with. The AI considers your client name, project name, billing period, and individual work entries to generate accurate descriptions.
Requires OpenAI API key: Configure your own key in Settings → AI Configuration. AI enhancement is available on Professional and Business plans.
Billable Expenses on Invoices
In addition to time entries, you can include billable expenses on invoices through Smart Invoicing.
How Billable Expenses Work:
- Mark expenses as "Billable to Client" when creating or editing an expense
- Only approved expenses with a client association are eligible
- Billable expenses appear in Smart Invoicing suggestions automatically, in a separate "Expenses" section
- Once invoiced, expenses are locked from editing and voiding
- To release an invoiced expense, void the parent invoice first
Tip: Expenses and time entries follow the same invoiced/uninvoiced tracking. Once on an invoice, they can't be double-billed. Void the invoice to release them for re-billing.
Send Your Invoice
From the invoice detail page, click "Send to Client" to deliver it.
Sending Process:
- If you have custom email templates, select one (or use auto-send if configured)
- If no custom templates exist, the default template is used automatically
- Client receives an email with invoice details
- If Stripe Connect is active, a payment link is automatically included (valid for 30 days)
- Invoice status updates to "Sent"
Pro Tip: Preview your invoice before sending. The preview shows exactly what your client will see, including any payment links.
Invoice Statuses
Invoices progress through a clear status lifecycle. Payment status is tracked separately.
Invoice Status:
- Draft — Editable, not yet sent to client
- Sent — Delivered to client, no longer editable
- Overdue — Sent but past the due date
- Paid — Payment received (manual or Stripe)
- Voided — Cancelled with reason

Managing Payments
Mark as Paid (Manual Payments)
For payments received outside of Stripe (check, bank transfer, cash), use "Mark as Paid". This sets the payment method to "manual".
Unmark as Paid
Only available for manually-marked payments (not Stripe). Requires confirmation and a reason. The invoice returns to "Sent" status.
Stripe Payments
Handled automatically via webhook. When a client pays through the payment link, status updates in real-time. Stripe payments cannot be unmarked from WorkCentral.
Automatic updates: Stripe payments are confirmed automatically. When a client pays through the payment link, you'll see the status update in real-time — no action needed on your end.
Voiding Invoices
You can void sent or paid invoices when you need to cancel them. Voiding requires a reason (minimum 10 characters) and confirmation.
What Happens When You Void:
- Invoice status changes to "Voided"
- All pending payment reminders are cancelled
- Your reason and a timestamp are recorded for audit
- Time entries and expenses are released — linked time entries and billable expenses are marked as uninvoiced and become available for Smart Invoicing again
Void with Release: This is one of WorkCentral's most useful features. Made a mistake on an invoice? Void it, and the time entries and expenses are immediately available for re-invoicing. No manual cleanup needed.
Payment Reminders (Pro+)
Automatic email reminders help you get paid on time without manually following up with clients.
Reminder Schedule:
- Before due date: 7, 3, or 1 days before
- After due date: 1, 7, or 14 days overdue
Features:
- Anti-spam protections: Built-in safeguards prevent excessive reminders
- Configurable: Set up your preferred schedule in Settings → Invoice Reminders
- Automatic cancellation: Reminders stop when an invoice is paid or voided

Plan Limits
Each plan has a monthly limit on invoices. When approaching your limit, an upgrade banner appears.

Reaching your limit? When you hit your plan's monthly invoice limit, creating new invoices is blocked with an upgrade prompt. The upgrade banner includes pricing for the next plan tier.
