Time Entry List

Navigate to Time Entries to see all logged time for your organization. The index page shows every entry with key details at a glance.

Each Entry Shows

Date β€” When the work was performed
Description β€” What was done
Project β€” Which project the work is for
Task β€” The specific task worked on
Hours β€” Time logged (e.g., 1h 30m)
Hourly Rate β€” Rate applied to this entry
Billable Amount β€” Hours Γ— rate for billable entries
Status β€” Pending, Approved, or Invoiced

Permission-Based Visibility

Managers (owners, admins, full access) see all time entries in the organization. Regular users see only their own entries. Statistics update accordingly based on your access level.

Filtering Options

Narrow down your time entries using a combination of filters. Active filters appear as removable pills so you can quickly adjust your view.

Project

Dropdown of all accessible projects. Select one to see only entries for that project.

Team Member

Filter by who logged the time. Only visible to managers on Business plan organizations with multiple team members.

Date Range

Start and end date pickers to view a specific time period. Built-in scopes include current week and current month.

Billable Status

Toggle between All, Billable Only, and Non-Billable Only to focus on revenue-generating work.

Approval Status

Tabs for All, Pending Approval, Approved, and Invoiced. Dropdown also offers Unapproved and Not Invoiced filters.

Pro Tip

Use the date range filter to review a specific billing period before creating invoices. This helps catch any missing time entries or entries that need description updates.

Grouping Views

The same grouping engine that powers Smart Invoicing can organize your time data in five different ways. Each grouping shows total hours, weighted average rate, total amount, and entry count.

Same Engine, Two Uses

These grouping options power both time reporting and Smart Invoicing. When you group time for reporting, you're seeing exactly how those same entries would appear as invoice line items if you used that grouping to generate an invoice.

Billable Analysis

Understand the split between billable and non-billable time to optimize your revenue.

Billable Time

Marked as billable by the user. Amount is calculated as hours Γ— hourly rate.

Flows into invoicing when approved.

Non-Billable Time

Internal work, admin tasks, or learning time. Billable amount is $0.

Tracked for internal analysis only.

Invoice Eligibility

A time entry must meet all three conditions to flow into Smart Invoicing:

Billable β€” marked as billable by the user
Approved β€” approved by owner or admin
Rate > $0 β€” has a non-zero hourly rate

Billable Ratio

Tracking your billable vs non-billable ratio helps you understand how much of your time is directly generating revenue. If non-billable time is high, consider whether some tasks could be restructured or delegated.

Approval Status

Every time entry moves through three states. Track which entries need attention and which are ready for billing.

Pending

Logged but not yet reviewed. Can still be edited by the creator or a manager.

Approved

Reviewed and approved. Locked from edits. Ready to appear on invoices.

Invoiced

Included on an invoice. Permanently locked. Linked to the specific invoice line item.

Bulk Approve

Speed up the approval workflow by selecting multiple pending entries and approving them in one action. This is especially useful at the end of a billing period when reviewing team members' hours.

Requires: Owner, admin, or full time tracking permission.

Sidebar Badge

The Time Entries item in the sidebar displays a badge with the count of entries pending approval across your organization. This gives you a quick indicator of how many entries need review without navigating to the page.
