Team Management (Business Plan)

Invite team members, assign roles, configure permissions, and manage your freelancer network

Business Plan Required

Team management is a Business plan feature. If you're on the Free or Professional plan, you'll see an upgrade prompt when trying to access the Team tab in Settings.

Upgrade to Unlock

Team access requires the Business plan ($36/mo or $360/yr). Upgrade from Settings → Billing to enable team management, API access, custom workflows, and unlimited resources.

Understanding Roles

Every team member is assigned one of three roles. Roles determine what actions a user can perform within your organization.

Owner

Full access to everything in the organization.

  • Manage billing & subscription
  • Invite & remove team members
  • Change member roles
  • Edit per-user permissions
  • All organization settings

Admin

Most features, with some restrictions.

  • Access most organization features
  • Invite new team members
  • Cannot manage billing
  • Cannot change other admins
  • Cannot remove members

Member

Limited by per-user permission settings.

  • Access granted per permission
  • Owner configures what's visible
  • Cannot access org settings
  • Cannot manage team
  • Cannot manage billing

Independent Freelancers

Team members are independent freelancers with their own WorkCentral accounts. When you invite someone, they join your organization as a collaborator — they can also have their own separate organization for their independent work.

Inviting Team Members

Organization owners and users with full team management access can invite new members to the organization.

Go to Settings → Team

Navigate to the Team tab in your settings. You'll see your current team member list, member count vs plan limit, and pending invitations.

Click "Invite Member"

Enter the email address of the person you want to invite. They'll receive an email with a link to join your organization.

Invitee joins or signs up

If the invitee already has a WorkCentral account, they can accept the invitation directly. If they don't have an account, they'll be guided through the signup process first.

Send another invitation email if the original was missed

Cancel Invitation

Revoke a pending invitation before it's accepted

Who Can Invite?

Inviting, resending, and canceling invitations requires full team management permission. Read-only users can view the team list and activity log but cannot send invitations.

Per-User Permissions

The organization owner can configure granular permissions for each team member. Navigate to Settings → Team → select a user → Permissions to customize what that member can access.

Owner Only

Only the organization owner can edit per-user permissions. Admins and members cannot change permission settings for themselves or other users.

Member Visibility & Organization Switching

Members with the "Member" role see a locked message on organization settings pages. They should switch to their own organization to access personal settings.

How Organization Switching Works

Each user has their own organization

Every WorkCentral account comes with a personal organization for independent freelancing work.

Switch between organizations

Team members can switch between their personal organization and any organization they've been invited to. All settings, data, and permissions reflect the selected organization.

Settings are per-organization

When viewing another organization, you see their settings. Switch back to your own organization for your personal settings like profile, security, and billing.

Locked Settings for Members

Member-role users see a locked message indicating they cannot access organization settings. To manage personal settings (profile, security, etc.), switch to your own organization using the organization switcher.
